Before You Start: Understand the Green Check Fields

 

Please review the standard Green Check fields in the table below to ensure you upload the necessary data.

  • Note: A sale record missing any required fields will not successfully upload. Sales missing optional fields will upload successfully but may be marked as Unchecked.

    Uploading Your Sales Data

    You have two options to upload your sales data to Green Check:

    Option A: Upload a File (Recommended)

    If your point-of-sale system allows you to export a report of your sales data, you can upload the file directly to Green Check.

    If you are not able to export a sales report from your POS, you can download, fill out, and upload this template instead.

    Steps to Upload a File

    1. Log into your Green Check account at app.greencheckverified.com.

    2. From your Dashboard, click Manual Upload.

    3. Click Upload data from file and select your file. Acceptable file formats include .csv, .tsv, .xls, .xlsx, and .txt.

    4. Match your column headers (Incoming Fields) to the standard Green Check fields (Destination Fields). Most fields will auto-match, but you can manually adjust using the dropdown menus.

    5. Click Continue to begin reviewing your file. This matching process only needs to be done once. Future uploads will remember your selections.

    6. Review your uploaded data:

      • Red-highlighted cells indicate validation errors that need to be fixed.

      • If your data has no errors, or if you prefer to fix rejected rows later, click Submit All Data.

    7. After submission:

      • Valid rows will be submitted and marked read-only in the upload window.

      • Invalid rows will remain editable for correction.

      • A Submission Status column will appear, showing each row as Submitted or Rejected.

      • If you fix and resubmit data, only previously rejected rows will be included in the new submission, since every row without errors was already submitted.

    8. You will receive a notification about the status of your upload shortly.

     


    Option B: Manually Enter Sales Data

    1. Log into your Green Check account at app.greencheckverified.com.

    2. From your Dashboard, click Manual Upload.

    3. Enter your wholesale sales data directly into the upload window.

    4. Review your data:

      • Red-highlighted cells indicate validation errors that need to be fixed.

      • Once you're ready, click Submit All Data. All valid rows will be submitted, and any rejected rows will remain editable.

    5. After submission:

      • Valid rows will be submitted and locked as read-only.

      • Rejected rows remain editable.

      • The Submission Status column will help you sort and identify rows that need fixing.

      • If you make changes and resubmit, only previously rejected rows will be submitted again.

    6. You will receive a notification when your sales upload is complete.

     


    Troubleshooting Issues (File Type and Required/Optional Fields)

    Ensure your file meets the following requirements:

    • The file must be in .csv, .tsv, .xls, .xlsx, or .txt format.

    • Ensure all required (*) fields are included:

      • * Transaction ID: Unique identifier for a transaction.

      • * Receipt Date: Accepted formats are M/DD/YY or MM-DD-YYYY 00:00:000.

      • * Customer ID Number: Unique identifier for the customer record.

      • * Transaction Total: Subtotal plus tax on all products sold within a transaction.

      • * At least one of Cash Paid, Debit Paid, Credit Paid, or Check Paid must be populated.

    • Here is the full list of optional fields with definitions:
      • Customer ID Type: The type of ID provided (i.e., MMJ, Driver's License, Non-Driver State ID).
      • Customer ID Expiry Date: The expiration date provided on the customer's license.
      • Customer DOB: Date of birth of the customer.
      • Employee ID Number: ID number of employee who sold product.
      • Product ID Number: PoS ID number or SKU of the product sold.
      • Product Name: Name of product sold.
      • Product Grams: Grams of marijuana that an individual product sold contains (can be 0).
      • Product Price per Unit: Pre-tax price of one unit of a product sold.
      • Product Type: Type of product sold, i.e., flower, edible, oil, accessory, etc.
      • Transaction Subtotal: Subtotal of all products sold within a transaction.
      • Transaction Tax: Amount of tax on all products sold within a transaction.
      • Transaction Cash Paid: Amount of cash paid during a transaction.
      • Transaction Debit Paid: Amount put on a debit card during a transaction.
      • Transaction Credit Paid: Amount put on a credit card during a transaction.
      • Transaction Check Paid: Amount paid with a check during a transaction.
