Uploading Wholesale Sales Data to Green Check

Overview
To report wholesale sales in Green Check, you will upload data for each invoice payment your business receives.
Each invoice payment must reference a specific invoice, but it is not the same as an invoice itself. If an invoice is paid in multiple installments, each payment is reported separately while still referencing the same invoice.
Therefore, you should upload sales data when a payment is received for an invoice—not necessarily when the invoice is created. If an invoice is paid in full at the time of creation, you will report it on the same day; otherwise, each payment should be uploaded as it occurs.
Before You Start: Understand the Green Check Fields
Please review the standard Green Check fields below to ensure you upload the necessary data.
- Note: A sale record missing any required fields will not successfully upload. Sales missing optional fields will upload successfully but may be marked as Unchecked.

Uploading Your Sales Data
You have two options to upload your wholesale sales data to Green Check:
Option A: Upload a File (Recommended)
If your wholesale management system allows you to export a report of your invoice data, you can upload the file directly to Green Check.
If you are not able to export a wholesale sales report, you can download, fill out, and upload this template instead:

Steps to Upload a File

Log into your Green Check account at app.greencheckverified.com.

From your Dashboard, click Manual Upload.

Click Upload data from file and select your file. Acceptable file formats include
.csv
,.tsv
,.xls
,.xlsx
, and.txt
. -
Match your column headers (Incoming Fields) to the standard Green Check fields (Destination Fields). Most fields will auto-match, but you can manually adjust using the dropdown menus.

Click Continue to begin reviewing your file. This matching process only needs to be done once. Future uploads will remember your selections.

Review your uploaded data:

Red-highlighted cells indicate validation errors that need to be fixed.

If your data has no errors, or if you prefer to fix rejected rows later, click Submit All Data.

After submission:

Valid rows will be submitted and marked read-only in the upload window.

Invalid rows will remain editable for correction.

A Submission Status column will appear, showing each row as Submitted or Rejected.

If you fix and resubmit data, only previously rejected rows will be included in the new submission (since every row without errors was already submitted successfully).

You will receive a notification about the status of your upload shortly.
Option B: Manually Enter Sales Data

Log into your Green Check account at app.greencheckverified.com.

From your Dashboard, click Manual Upload.

Enter your wholesale sales data directly into the upload window.

Review your data:

Red-highlighted cells indicate validation errors that need to be fixed.

Once you're ready, click Submit All Data. All valid rows will be submitted, and any rejected rows will remain editable.

After submission:

Valid rows will be submitted and locked as read-only.

Rejected rows remain editable.

The Submission Status column will help you sort and identify rows that need fixing.

If you make changes and resubmit, only previously rejected rows will be submitted again.

You will receive a notification when your sales upload is complete.
Troubleshooting Issues (File Type and Required/Optional Fields)
Ensure your file meets the following requirements:

- Memo/Description: Note on the invoice.
- Payment Date: Date the payment was received.
- Payment Type: Cash, Check, Debit or Credit.(Defaults to Cash if not provided)
- Payment ID: Unique ID of the payment, separate from invoice number. (Auto-generated if not provided)
- Payment Amount: Payment amount.

Note: Any fully open/outstanding invoices with zero payments made against them will not show up in Green Check or will show up as $0. Only payments show up, whether they're partial or full. The Open Balance will reflect the remaining amount left on that invoice.
