Overview

To report wholesale sales in Green Check, you will upload data for each invoice payment your business receives.

Each invoice payment must reference a specific invoice, but it is not the same as an invoice itself. If an invoice is paid in multiple installments, each payment is reported separately while still referencing the same invoice.

Therefore, you should upload sales data when a payment is received for an invoice—not necessarily when the invoice is created. If an invoice is paid in full at the time of creation, you will report it on the same day; otherwise, each payment should be uploaded as it occurs.

Before You Start: Understand the Green Check Fields

 

Please review the standard Green Check fields below to ensure you upload the necessary data.

  • Note: A sale record missing any required fields will not successfully upload. Sales missing optional fields will upload successfully but may be marked as Unchecked.

Uploading Your Sales Data

You have two options to upload your wholesale sales data to Green Check:

Option A: Upload a File (Recommended)

If your wholesale management system allows you to export a report of your invoice data, you can upload the file directly to Green Check.

If you are not able to export a wholesale sales report, you can download, fill out, and upload this template instead:

Steps to Upload a File

  1. Log into your Green Check account at app.greencheckverified.com.

  2. From your Dashboard, click Manual Upload.

  3. Click Upload data from file. A file browser will open for you to select your file. Acceptable file formats include .csv, .tsv, .xls, .xlsx, and .txt.

  4. Match your column headers (Incoming Fields) to the standard Green Check fields (Destination Fields). Most will auto-match, but you can adjust using the dropdown menus. Then click Continue.

    • This matching process only needs to be done once. Future uploads will be automatically mapped and will remember your selections.

  5. Begin reviewing your file. You'll be able to see valid and invalid rows. 
    • Red-highlighted cells indicate errors that should be addressed before submission.

  6. If you have no validation errors, click Submit All Data. This will save and submit every row in your file!
  7. If there are invalid rows, no need to worry. You can either fix these rows OR click the  Submit Valid Rows Only button to submit the rows that have no errors:
    • Important note: We will only submit the valid rows upon submission. If you have invalid rows, those will remain in the upload window for you to fix after the initial submission, if needed.
  8. You will receive a notification about the status of your sales upload shortly.


Option B: Manually Enter Sales Data

  1. Log into your Green Check account at app.greencheckverified.com.

  2. From your Dashboard, click Manual Upload.

  3. Enter your wholesale sales data directly into the upload window.

    • Red-highlighted cells indicate validation errors that should be addressed before submission.

  4. If you have no validation errors, click Submit All Data. This will save and submit every row in your file!
  5. If there are invalid rows, no need to worry. You can either fix these rows OR click Submit Valid Rows Only to submit the rows that have no validation errors:

    1. Important note: We will only submit the valid rows upon submission. If you have invalid rows, those will remain in the upload window for you to fix after the initial submission, if needed.
  6. You will receive a notification about the status of your sales upload shortly.

Troubleshooting Issues (File Type and Required/Optional Fields)

Ensure your file meets the following requirements:

  • The file must be in .csv, .tsv, .xls, .xlsx, or .txt format.

  • Ensure all required (*) fields are included:

    • * Date: Invoice date; accepted formats are M/DD/YY or MM-DD-YYYY 00:00:000.

    • * Invoice Number: Unique identifier for the wholesale transaction.
    • * Customer: Name of the purchasing business.

    • * Invoice Total: Total amount of the invoice. 

    • * Open Balance: Remaining balance on invoice.
  • Here is the full list of optional fields with definitions:
    • Product: Name of the product sold.
    • Quantity: Quantity of product sold, in units.
    • Price: Price of the product sold.
    • Memo/Description: Note on the invoice.
    • Payment Date: Date the payment was received.
    • Payment Type: Cash, Check, Debit or Credit.(Defaults to Cash if not provided)
    • Payment ID: Unique ID of the payment, separate from invoice number. (Auto-generated if not provided)
    • Payment Amount: Payment amount.

Note: Any fully open/outstanding invoices with zero payments made against them will not show up in Green Check or will show up as $0.  Only payments show up, whether they're partial or full.  The Open Balance will reflect the remaining amount left on that invoice.
