Setting Global Task Ownership (By App Area)

This feature allows you to assign ownership at the global level for each area of the app, ensuring comprehensive oversight and accountability across all functionalities

Global FI Level Ownership enables FIs to designate owners at the highest level of the compliance SaaS app, providing oversight and accountability across all functionalities and sections. Unlike account-centric ownership, which focuses on individual accounts, global FI level ownership ensures consistent management and supervision at the organizational level.

How Does it Work?

  1. Ownership Assignment: With global task ownership, admins can assign ownership at the app area level. App areas include: accounts, FinCEN, deposits, monitoring, and core data. By setting an owner, you are indicating who within your institution should be assigned tasks automatically. See the table below for a full list of tasks.
  2. Task Routing: Once ownership is assigned at the global FI level for each app area, all tasks and notifications for that area are routed to the designated owner (which can be an individual user or a group).

  3. Comprehensive Oversight: Global FI level ownership ensures comprehensive oversight and accountability across all compliance activities within the organization. Owners at this level act as guardians, overseeing compliance efforts and ensuring adherence to regulatory standards.

Here is a list of all the auto-generated tasks within Green Check:

Monitoring task owner will receive all auto-generated monitoring reviews across accounts. Once a monitoring review has been completed, the task will auto-complete and the work will be finished.

Data task owner will receive all core data processing tasks and notifications. These tasks cannot be auto-completed and must be closed by the task owner in order to be marked as "complete."
Deposits New Manual Deposit Needs Reconciling 

 

Deposits task owner will receive manual deposits that need to be reconciled. Upon reconciliation, these tasks will be marked as complete automatically.

 

An example: 

If you have 3 BSA Analysts responsible for completing FinCEN tasks, create a "BSA Analyst" group with those three individuals, and assign them as the owner of FinCEN. This means all tasks moving forward will be assigned to only these three individuals (not ALL Administrators) so they can complete the work pertinent to their roles. When this toggle is enabled, ONLY the individuals or groups set as owners will receive notifications and tasks for the related app areas; admins will no longer receive all notifications (which streamlines responsibilities!).

How to Set Ownership at the Global Level

  1. Navigate to this new area to set ownership settings. Go to Users and Select Ownership.
  2. Select the owners for each app area. They are all turned off and defaulted to permission-based assignments so no tasks get lost during this transition (this is how tasks are assigned currently - based on group permissions). However, ownership can now be customized so you can select individuals or groups to own and be assigned tasks for that area. This means they will receive a notification and task every time a related auto-generated Green Check task is kicked off. 
    1. A confirmation modal allows you to confirm your selection. By confirming, you are indicating that you want these related tasks to go to the selected owners moving forward.
    2. The new owner(s) will receive an email notification letting them know they have been assigned as an owner of a particular area. It's very important that they ensure their notification settings (email and in-app) are ENABLED for the related app area that they now own.
  3. Visit the Tasks area. Here you will now be able to track task status more discreetly based on the assigned owners!
