Bulk upload orgs and users in Green Check

Note: This functionality is coming soon, but we wanted to give you a heads up as to how it works with this article.

Bulk Upload lets you add many accounts or many users to Green Check at once from a single spreadsheet, instead of inviting them one at a time. Download a template, fill in one row per record, upload the file, fix anything Green Check flags, and submit. Every upload is logged in Upload History so your team can see what was imported, by whom, and whether it succeeded.


⚡️ Quick Start Guide

  1. Go to Accounts and open the ⋯ (more actions) menu in the top right, then select Bulk Upload.

  2. Choose Accounts or Users.

  3. Download the template (found below) that matches what you are importing.

  4. Fill in the template, one row per record, and save it as .CSV or .XLSX.

    1. For Accounts: Set the import settings in Step 1 of 2. These apply to every record in the upload. Upload your file in Step 2 of 2 and review the grid.

  5. Fix any rows marked Invalid, then select Submit All Rows.

  6. Confirm the result in Upload History on the Bulk Upload page.

Access Bulk Upload

  1. Select Accounts in the left navigation.

  2. Select the ⋯ (more actions) icon to the right of Invite Account.

  3. Select Bulk Upload.

  4. The Bulk Upload page opens with two options and your institution's upload history.

Choose what you are uploading

The Bulk Upload page gives you two paths:

  • Accounts — Invite multiple businesses at once. Use this when you are onboarding a group of new accounts. For this flow, you will choose the settings for the upload first, and then upload or enter your data.

  • Users — Add multiple users at once. Use this when the accounts already exist in Green Check and you need to give people access to them.

Download the right template

Green Check matches your columns by their header names, so always start from a template rather than building a spreadsheet from scratch.

Download the correct template from the table below (either CSV or XLSX):

Accounts — Cannabis (Plant-Touching) The accounts are plant-touching cannabis businesses. Includes Business Stage, POS Name and Business Type.
Accounts — Cannabis (Non-Plant-Touching) The accounts are cannabis businesses that are not plant-touching. Includes POS Name and Business Type, but not Business Stage.
Accounts — Non-Cannabis The accounts are money service, gaming, alcohol/beverage, hemp, cash-intensive or other businesses. POS Name, POS Name Other, Business Type and Business Stage are not collected.
Users You are inviting users to accounts that already exist in Green Check.

Every template has 3 tabs:

  • Accounts or Users — the tab you fill in.

  • Lists — the dropdown values the file validates against.

  • Valid Values & Formatting — a full reference for every column, including format, an example, and the accepted values.

⚠️ Important: Do not rename, reorder or delete the header row. Green Check reads your columns by header name, and a renamed header will not map.

Fill in your file

  • Enter one row per record

  • Hover any header in the Excel spreadsheet to see its expected format and an example.

  • Leave optional columns blank rather than entering a placeholder value.

  • Save the completed file as .csv or .xlsx, up to 10 MB.

Set your import settings (Step 1 of 2)

These settings apply to every record in the upload. For accounts, you can change  most of these settings after the import is complete (changing Due Diligence Status independently is coming soon).

For accounts

Setting Required What it does
Industry Type Yes Sets the industry for every account in the file. Options: Cannabis-Related Business, Money Service Business, Gaming, Alcohol/Beverage, Hemp, Cash Intensive Business, Other. In order to add other industries (aside from Cannabis), you must have the High Risk module enabled for your institution.
Due Diligence Template Yes Chooses the due diligence questionnaire each account receives. Options: Non-Plant Touching, or Plant Touching (Marijuana-Licensed).
Due Diligence Status Yes Sets the starting status for every account. Options: Invited or Awaiting Review.

Select Next once all required settings are chosen. The button stays disabled until they are.

For users

There are no import settings for user uploads. All users will receive invitations to Green Check when the upload has finished.

Upload and review your data (Step 2 of 2)

The importer opens on an empty grid with your column headers already in place. Required columns are marked with a red asterisk.

You have two ways to get data in:

  1. Upload file — select the Upload File button, or drag and drop your file directly onto the grid.

  2. Manually enter data — type or paste rows straight into the grid. Useful for a short list or a quick correction.

Once your data loads, use the toolbar to work through it:

  • Filter and search to narrow the grid.

  • Actions for bulk edits across selected rows.

  • The record count shows how many rows are loaded.

  • The All / Valid / Invalid toggle switches between every row, rows that passed validation, and rows that need attention.

Fix invalid rows

Switch to Invalid to see only the rows Green Check flagged. Common causes:

  • A required field is blank.

  • A date is not in MM-DD-YYYY format, or is in the future.

  • An EIN is not nine digits with a dash after the first two.

  • A postal code includes ZIP+4 instead of five digits.

  • A dropdown value does not match the list exactly, for example a state abbreviation instead of the full state name.

  • A user's Account does not match an existing account name in Green Check.

Edit the cell directly in the grid. Rows move to Valid as soon as they pass.

Submit

When your rows are clean, select Submit All Rows. Green Check processes the file and returns you to the Bulk Upload page.

✅ Tip: Check the Invalid tab before you submit. Clearing it first is the fastest way to get a clean import and avoid re-uploading the same records.


Track uploads in Upload History

The Upload History table on the Bulk Upload page logs every import for your institution:

Column What it shows
File Name The file that was uploaded.
Type Accounts or Users.
Uploaded By The team member who submitted it.
Date When it was submitted.
Records How many records were in the file.
Status Completed, Processing, or Failed.
File A download link for the original file that was uploaded.

Field reference: Accounts templates

Columns are listed in template order. Not every column appears in every accounts template. See the "Applies to" note under each.

Adding bank accounts

All three accounts templates include room for up to three bank accounts per business. Each account uses a group of four columns, numbered 1, 2 and 3.

Bank accounts are optional. If you are not importing account numbers, leave all twelve columns blank. If you are, fill the slots in order, starting with Account Number 1, and leave the whole group blank for any slot you do not need.

⚠️ Verify every account number before you upload. Account numbers drive core data reporting in Green Check, and an incorrect number is not something the importer can catch for you. It will pass validation as long as it is filled in and does not match an existing number that's in Green Check.

Check each number against your core system, and watch for these spreadsheet issues in particular:

  • Dropped leading zeros. Excel strips them from numeric cells, turning 0012345678 into 12345678. Format the Account Number columns as Text before you paste, or prefix each value with an apostrophe.
  • Scientific notation. Long numbers can display as 1.00012E+09 and save that way in a .csv. Format as Text to prevent it.
  • Copy-paste issues. When you paste a column from another system, confirm the first and last rows line up with the businesses they belong to.

Open your saved .csv in a plain text editor before uploading if you want a final check on what Green Check will actually read.

📋 Note: If using the importer screen to manually type in user information, use the Account column to select from your existing list of accounts (start typing and the accounts will populate). However, the Account column cannot be pre-filled with a dropdown in the spreadsheet (since it's built dynamically) and must be typed exactly.


Permissions

Bulk Upload sits on the Accounts page and is available for all users to view; however a user must be either an Account Owner/Admin OR have the Bulk Importer permission to bulk upload orgs or users. 

Tips for your team

  • Start from the template every time. Reusing an old export or a hand-built sheet is a common cause of failed imports, because Green Check maps columns by header name.

  • Split by template, not by batch size. If you are onboarding plant-touching and non-plant-touching accounts together, you must run them as two uploads so the settings and columns line up.

  • Import accounts before users. The Users template requires an existing account name, so accounts have to land first.

  • Do a five-row test first when you are importing a large list. It surfaces formatting problems before you commit many rows.

  • Have a second person check the account numbers. They are the highest-risk field in the file, they affect core data mapping, and the importer cannot validate them for you.
  • Check Upload History rather than assuming success. Confirm the status reads Completed and the record count matches your file.

Frequently Asked Questions

What file types can I upload? Either .csv and .xlsx.

How many records can I import at once? As many as needed.

Can I edit my data after uploading the file? Yes. The importer grid is editable. You can fix individual cells, use Actions for bulk edits across selected rows, or add rows manually before submitting.

What should I do about rows that are still invalid? Clear them before you submit. Switch to the Invalid tab, correct the flagged cells, and confirm the rows move to Valid.

Can I change the import settings for one account after the fact? Yes. Industry Type, Due Diligence Template, and Due Diligence Status apply to the whole upload, but you can change them on an individual account after the import completes.

What does the Due Diligence Status setting do? It sets the starting due diligence state for every account in the upload. Invited places accounts at the start of the due diligence process. Awaiting Review places them in the queue for your team to review. 

Why is my state or POS value rejected? Those columns validate against a fixed list. Use the full state name rather than an abbreviation, and pick POS values from the Lists tab exactly as written.

Can I upload users for accounts that do not exist yet? No. The Account column has to match an account already in Green Check. Import the accounts first, then the users.

Can I re-download a file I uploaded before? Yes. Select the file link on any row in Upload History.
