Omit transactions from your deposit variance
How to exclude individual transactions from deposit variance calculations
When reviewing an account in Account Monitoring Review, not every transaction is relevant to the variance picture you're trying to see. The Omit Transactions feature lets you exclude specific transactions from deposit variance calculations, so your results reflect the activity most likely to surface anomalies or issues.
⚡ Quick Start Guide
- Open an Account Monitoring Review and scroll to the Transaction Summary.
- Click any transaction type row to open the transaction list drawer.
- Check the box next to any transaction you want to exclude.
- Click Omit from Variance and add a reason for the omission, then click Apply Changes.
- When you've finished omitting, click Refresh Data in the banner at the top of the review to recalculate variance.
Opening the transactions
The Transaction Summary in Account Monitoring Review displays deposit and disbursement activity grouped by type — Wire In, ACH In, Cash In, and so on. Each row is clickable.
When you click a row, a drawer opens showing every individual transaction within that type for the review period. Each transaction displays:
- Code — the internal transaction code
- Date — the date the transaction posted
- Amount — the transaction amount
- Description — the full transaction description as received (as long as you are sending it to us with your core data file)
Omitting transactions from variance
Once the transaction list drawer is open:
- Check the box next to each transaction you want to omit. You can select multiple transactions at once.
- At the bottom of the drawer, click Omit from Variance.
- Click Apply Changes to confirm.
Once you've omitted your first transaction, the review status changes to Refresh Needed and a banner appears at the top of the review. This means you've changed transactions that affect variance, but the calculations haven't been updated yet.
You can omit as many transactions as you need before refreshing. Variance recalculates only when you click Refresh Data.
Refreshing variance after omitting
When you're done omitting transactions, click Refresh Data in the banner at the top of the review.
The status changes to Updating while the recalculation runs. This usually takes 10 to 15 minutes. You can keep working in the review during the update.
When the recalc completes, the status returns to Up to date and your variance reflects all your omissions.
A few things to know during a refresh:
- Variance numbers may temporarily dim while updating.
- Comments you add during the refresh are preserved.
- If you navigate away and come back, the status will show whether the refresh is still in progress.
If you complete a review before the refresh finishes
In rare cases, you might complete a review before the recalculation has fully run. If the recalc surfaces new insights, or makes existing insights no longer applicable, we'll let you know so you can take another look.
When this happens:
- You'll receive a clear email and an in-app notification letting you know the review needs another review.
- The review moves back to the Open Reviews tab with a Needs Review status.
- Inside the review, we clearly mark which insights are new and which may no longer apply, so you can quickly evaluate the changes and re-complete it.
This is rare. It only happens when both of these are true: the review was completed before the recalculation finished, and the recalculation actually changes which insights apply.
Why doesn't variance update as I omit?
We changed this in the latest performance update. Variance now recalculates once, after you click Refresh Data, instead of every time you omit a transaction. This keeps reviews fast and lets you batch your omissions in one pass.
Restoring an omitted transaction
If a transaction was omitted in error, or circumstances have changed:
- Click the relevant transaction type row in the Transaction Summary to open the drawer.
- Locate the transaction and select it.
- Click Omit from Variance to toggle the flag off, then click Apply Changes.
The transaction will be re-included in deposit variance calculations immediately
Audit and compliance
Omitting a transaction does not delete it or alter the account record in any way. Every transaction flagged for omission remains visible and accessible.
Each omission's reason is captured alongside the omission itself. Reasons appear in the omitted transactions view and in the review narrative, making them easy to reference during compliance reviews.
FAQs
Does omitting a transaction affect the account record? No. The transaction remains in the account record. Only its inclusion in deposit variance calculations is affected.
Can I omit multiple transactions at once? Yes. Select as many transactions as needed within the drawer and omit them all in a single step.
Do I have to refresh after every omission? No. You can omit as many transactions as you need before clicking Refresh Data. Most users batch their omissions and refresh once at the end.
Why does my variance look the same right after I omit a transaction? Variance recalculates only when you click Refresh Data in the banner. Until then, variance reflects the last refresh.
Can I complete a review while it's still updating? You can, but we recommend waiting until the status returns to Up to date. The review will show a confirmation prompt if you try to complete it before the recalc finishes.
Who can omit transactions? Any user with edit access to Account Monitoring Review can omit or restore transactions. Contact an admin if you need your access updated.
