Accounts: Seedling Workflow Enhancements
(Business Stage, Questionnaires, and Review Lifecycle)
These updates improve how you manage Seedling accounts end-to-end, from CRB check-ins through business stage review and resolution.
1. Seedling Check-In → FI Review Trigger
Managed Seedling Questionnaires are a new system-managed capability that allow Green Check to proactively monitor early-stage businesses. Green Check has developed a structured Seedling check-in questionnaire to evaluate responses automatically and trigger FI review workflows only when a business signals a meaningful change.
For example, When a CRB submits a managed Seedling (check-in) questionnaire and reports a potential business change (for example, selecting a new answer to “Which option best describes your business right now?”), Green Check now:

Automatically creates a “Review Business Stage” task for the FI

Sends an email notification with context about the reported change
-
Ensures only one open task per account and reported stage, preventing duplicates
-
Automatically completes the task if the FI finishes the Seedling Workflow wizard; otherwise, the task remains open for manual review
This ensures reported business changes are surfaced promptly and consistently without creating task noise.
2. Seedling Workflow Wizard (Business Stage Wizard)
A new guided wizard allows FIs to manage the full Seedling Workflow in one place:

Update the business stage (for example, Seedling → Active)

Optionally switch Due Diligence (DD) templates
- Change account status (Invited, Onboarding, Active)
- Manage related document requirements and questionnaire options in a single flow
All actions taken in the wizard are audit-logged, including who made the change and when. Although logged, we have not yet exposed this audit information in the app but will in the future.
Wizard behavior highlights:

If the same DD template is selected, the document-matching step is skipped to avoid unintended changes

Archived DD templates are excluded from selection, so FIs only see active options

“Change Business Stage” is:

Available for standalone accounts and MUO children
-
Hidden for MUO parent organizations where it does not apply

3. Seedling Banner & Task Lifecycle
When a business stage review is required:

A persistent “Review Business Stage” banner appears on the CRB account for FI users
-
The banner cannot be dismissed until the review is completed via the wizard
-
The banner now clears immediately upon successful completion — no page refresh required
Seedling-related tasks:

Are not duplicated when the same stage is reported repeatedly
-
Include full completion details in FI task views (completed by, completed at, how it was completed, and any notes)
Seedling Questionnaires & Notifications

FI notifications for Seedling check-ins are now consistent and aligned with business stage triggers

Legacy questionnaire emails have been updated so all questionnaires (Seedling, managed, and recurring):

Use the new email templates
-
Include clearer instructions and context for CRBs
-
Correctly populate dynamic values such as names, links, and notes
-
Seedling Documents & DD Template Switching
When changing business stage or switching DD templates (including switching back):

Documents mapped to requirements remain correctly mapped and are not duplicated
-
Unmatched and “Additional Info” documents continue to appear in the Other folder
-
Previously uploaded documents — including CRB-level uploads — are preserved and surfaced appropriately
This ensures document continuity throughout the Seedling and onboarding lifecycle.
SAR Timing & Validation Improvements
Standardized SAR due dates

All SARs are now due 30 days after the end of the monitoring period

This removes reliance on a separate “filed on” date and simplifies due-date tracking
Clearer EXT field validation

The EXT field no longer shows validation errors before user input
-
Validation now occurs at the appropriate time, reducing confusion during SAR completion
Questionnaires & Notifications

All FI-sent questionnaires now use consistent email templates with:

Clear descriptions

Optional FI notes

Direct links to the CRB experience

Email routing issues have been corrected to ensure the right audience receives the right message
-
Business stage messaging only appears when a stage actually changes
-
Recurring questionnaires now reliably generate new notifications per cycle

Sales Upload Questionnaires no longer send early or auto-complete outside the correct reporting period
Reporting Enhancements

Sales and raw sales reports now include Transaction Type

Application PDF exports now include Business Stage context

Account numbers are masked in FI tables for added on-screen privacy (exports unchanged)
